Approve the week's hours and send them to payroll
Every person's hours for the pay period on one page, a manager's approval that locks them, an entry sent back with a reason, and the approved hours as the file your payroll takes.
The crew’s hours were already in SMG Tools — clocked in from the phone, logged against the job, costed at each person’s rate. What they did not do was get anybody paid. Every Friday somebody filtered the time entries by person, added up a week and typed it into payroll.
A pay period, the way you pay. Under Organization → Team, choose weekly from the weekday you like, every two weeks from a date, twice a month, or monthly. A change applies from the next period, so the week you are looking at keeps its shape and so does every week already approved.
Timesheets: one period, everyone on it. Each person with hours in the period — your crew’s sign-ins and the workers you pay without one — with their hours, billable hours and cost, and where the week stands. Open a person to see their entries by day and job.
Approve, and it is locked. Approving a person’s week locks every entry in it — for them, for a manager, for you. To change something afterwards, unapprove the week with a reason, which goes on the week’s history beside who did it and when. An entry logged after the approval is still accepted — the work was done — and the row says how many arrived since, until you approve again.
Return, and they are told. An entry that looks wrong goes back with a note; the person is emailed the entry and your reason, sees it on My Day, and the week cannot be approved until the entry is corrected. Your own hours need no approver — they are approved by being yours.
The file payroll takes. Export the period’s approved hours as a summary (one row per person), as detail (one row per person per day per job), or in the shape Gusto’s hours import takes. Hours that are not yet approved are left out and counted for you before the download, or included and marked if you ask. Hours are as logged, in quarter-hour units — overtime is your payroll provider’s to work out, because it knows your state’s rules.
