Add-on

A phone that gets answered

An assistant answers the calls you cannot, takes down what the caller needs, and puts it in a queue you work through. It tells every caller it is an assistant. With online booking on, it offers the times you published and books the one the caller takes — instant, or held for your say-so; otherwise it writes the job down and hands it to you. The only price it will ever say is one you published yourself.

$19/monthflat, however many calls

Add it to any plan from Billing, cancel from the same place. Your own number, or forward the one you have. A busy month costs the same as a quiet one — there is no per-call charge, so answering the phone never becomes a thing you weigh against the job behind it.

Getting found is included on every plan

  • Referrals, attribution and your directory listing — on every plan, never ranked or promoted.
  • Online booking — a customer books a visit from your public page or their own link, instant or held for your confirmation, with your diagnostic fee as a deposit if you want one; the assistant books over the phone inside its add-on.
  • Service agreements — the recurring book, its visits, its billing, its client signing, automatic payment, the per-agreement profitability that says which contracts make money, and the recurring revenue report across the whole book.
  • Your data, yours — bring your clients, their units, your equipment, materials, job types and services in from a spreadsheet; take any list out as a CSV in the columns it came in, and the whole account as a zip whenever you like; delete the account yourself. On every plan. No export fee, no onboarding ticket, no support ticket to leave.

Frequently asked questions

What happens when my free trial ends?

Nothing is charged. There is no card on file during the trial, so on day 91 you choose: Professional at $49 a month, Crew at $99, Scale at $299, or carry on with Starter for free. If you do nothing you land on Starter — the $1 transaction minimum comes back and the Professional features switch off, but your data stays exactly where it is.

How much AI do I get?

Professional includes 1,000,000 AI tokens a month, 100 receipt scans a month and up to 5 connected bank accounts; Crew includes 5,000,000 AI tokens, 500 receipt scans and up to 10 bank accounts, and Scale 15,000,000 AI tokens, 2,000 receipt scans and up to 25 bank accounts, because a team spends more of each. Each is the whole business’s, shared by everyone in it, and Billing shows what is used and when it starts again. Tokens are what drafting a proposal, auditing scope, reading your website to set your business up, working out what you said to the voice assistant, summarizing how your quarter went, or writing the short answer when you ask how something is done consume — the figures in that answer cost nothing, since they come from reports running on our own systems, and so does finding the help, since searching our own pages is our work rather than a model’s; a single request is capped at 10,000, so Professional’s monthly allowance is at least 100 full proposals. The remaining balance is shown in the assistant before you spend it, and working out what you meant costs credit even if you cancel the result. A business that connected more bank accounts than its plan now includes keeps every one; it connects another once it is under the number.

What are Stripe fees?

Stripe charges 2.9% + $0.30 per transaction for online payments. These are standard payment processing fees charged by Stripe, not SMG Tools, and we pass them through at cost. Our 0.25% app fee is separate. Both come out of the payment before it reaches you — nothing is ever added to what your client is charged. A tip your customer chooses to add is the one thing that can make the charge larger than the invoice: our fee is not taken on it, and Stripe’s processing applies to the whole charge.

How does “Pay as you go” work?

You only pay when you get paid. Your client is charged the invoice and nothing more; about 3.2% comes out before it lands in your account. A $500 invoice nets you $483.95 — $14.80 to Stripe and $1.25 to us. Small invoices cost proportionally more because of the two flat charges, so tiny balances are better collected in cash or rolled into the next invoice. Full worked examples are in section 4.4 of the Terms.

What does Professional add over Starter?

Both tiers give you the full job lifecycle — proposals with good, better and best options and a deposit when they are signed, invoicing with every job’s agreed price and what is left to bill, clients, expenses, time, mileage, a Price Book with the cost behind every price, a public business page with lead capture and PDF flyer, Margin Intelligence with at-risk alerts, automations that email your clients, service agreements and the recurring revenue report, the readings your work takes kept against the thing they were read off, your equipment with its hours on the job’s costs, the stock in your shop and vans with the parts each job used, your suppliers with their purchase orders and every bill checked against what came, and a site’s measurements, typed once and priced onto every proposal there. Professional drops the $1 minimum from every transaction — worth real money below about $400, where the flat fee is more than the percentage — and adds everything that runs on somebody else’s meter: setting the business up from its own website, the voice assistant, asking your own reports how the business did and the monthly summary that arrives on its own, being answered where you are standing when you ask how something is done, the Proposal Assistant with Scope & Risk Auditor, drafting a job’s materials list, measuring sites on satellite imagery with Street View, roof data and the site picture on the proposal, drafting a proposal’s lines from the site, the weather forecast against every visit with the ones it puts at risk, describing your own automation in a sentence, receipt scanning, reading a supplier’s bill from a photo or PDF, photo storage, the public page photo gallery, bank sync with reconciliation, text messages to your clients, address autocomplete, route mileage, service area radius and job-site weather. It also keeps your books in QuickBooks Online or Xero up to date as your records change, your suppliers’ bills among them.

Will Professional include more features later?

Yes, most weeks. Everything that has shipped, dated, is on the What’s New page. What we are building next is under What’s coming on the home page. New features arrive on every plan they belong to automatically, with nothing to install.

What happens if I cancel Professional?

You keep Professional access through the end of your current billing period. After that, you revert to Starter — the $1 minimum returns and Professional-only features become unavailable. Your data is never deleted.

What is Crew?

Professional for a business with more than one person in it. $99 a month includes 5 office users — you and everyone whose role works in the office — and unlimited field workers, and each office user past 5 is $25 a month. Each person gets a role: a manager can do everything you can except billing, organization settings and the team itself; a dispatcher, an estimator or a bookkeeper reaches their own part of the business, and a dispatcher sees no prices; a crew lead runs the crew on their visits; a field worker sees only what is theirs. You invite by email from Organization → Team and can change anyone's role or remove them at any time.

Can I add office users?

Yes, on Crew and Scale, one at a time and whenever you need to: $25 a month each on Crew, $20 on Scale. When every seat is taken, inviting another manager offers to add one, and you see the price, what is charged now for the rest of the month and your new monthly total before anything is charged. A removed office user stays until the end of the month you paid for. Field workers are never an office user, so they never need one. Professional and Starter are one person in the office; a team starts on Crew.

What is Scale?

Crew for a bigger company. $299 a month includes 15 office users, unlimited field workers and larger allowances, and each office user past 15 is $20 a month, with no ceiling and no quote. It has every tool Crew has and no tool of its own: what it adds is people and capacity, and roles you build yourself. Crew and Scale cost the same at thirteen office users, and Scale costs less from fourteen. Moving between them keeps everyone, and you see the new total before you confirm.

Do field workers cost extra?

No. A field worker is never counted against a seat and there is no per-technician charge, on purpose. Every person who clocks in makes your margin numbers truer, and we would rather you had all of them in than pay by the head.

What happens if I cancel Crew?

You keep Crew access, and any office users you added, through the end of your current billing period. After that you revert to Starter, which includes one seat — yours. Nobody is removed and nothing they made is lost, but your managers and field workers cannot sign in until you subscribe again or the plan covers them. You never lose access to your own business.

How do I get help?

Email support@smgtools.com and you will hear back within one business day. There is no phone queue and no ticket robot — the person who built it reads it. On Scale, your emails are answered before anyone else's.

What payment methods do you accept?

We accept all major credit cards through Stripe. Your clients can pay invoices via credit card, debit card, or Apple Pay.

What can the assistant do?

A short, fixed list — deliberately that, rather than a chatbot pointed at your whole account. You can record mileage, hours, expenses and work notes; start a client, a job, an appointment, a change order or a proposal; add or change your job types and the services customers can book — the only two settings it can reach; and ask what a client still owes, where a job has got to, or how to reach someone. With Inventory, you can also ask how many of a part a van or the shop holds, what parts a job used and what needs restocking, and record parts used on a job or ask for parts for your own van. With Purchasing, the office can draft an order to a supplier — which a person checks and sends — and ask what is on order for a job or whether an order came in. In the same box you can also ask about the business itself — what you made last quarter, what moved it, why a job came in under — answered from your own reports; you do not pick which kind of question it is, and asking one can never change a record. On its Help tab you can ask how something is done, answered from these help pages: a short answer with the parts of the help it was written from underneath, each one a link, and nothing in it that is not on one of those pages. It works out which job or client you meant from the name you said — you never have to know a number. Anything that writes shows you a card first and waits. Every field on that card is editable, there is no way to switch the confirmation off, and nothing that messages a client, moves money, or deletes a record is in the list at all. You reach it by typing — Ctrl+K from anywhere — or by speaking, into the same box; recordings are sent for transcription and discarded, and the audio is never stored. It is a Professional feature, included in the 90-day trial, and it spends the same monthly AI allowance as proposal drafting.

If it tells me how something is done, where does that come from?

From these help pages, and from nowhere else. When you ask, the product scores your question against the published help, picks the sections that answer it, and writes a short answer over those — with each section shown underneath, linking to the page it came from. Before you see that answer it is checked back against the exact sections it was given: one that names a screen, a settings path or a figure those pages do not contain is not shown at all, and you get the help itself with a line saying the short answer is the part that went missing. The same thing happens if it cannot be written for any other reason. The help never goes missing, because finding it happens before anything is asked of a model — and finding it is free. Where something it finds needs a plan above yours, it names the capability and the plan rather than walking you through a screen you do not have.

If it tells me how the quarter went, where do the numbers come from?

From your own reports, and from nowhere else. Nothing in the answer is a figure a model produced. When you ask, the product works out which of its reports answers the question, runs them, and shows you what they found — each row linking back to the report it came from, so you can check it. Where it writes a paragraph over those figures, every number in that paragraph is checked back against them before you see it; one that does not appear there means the paragraph is not shown at all, and you get the figures with a line saying the summary is the part that went missing. It describes what your records show and never proposes a change — not to a rate, a template or a job. Other products in this market have their own way of asking your data a question; what we will claim about ours is what it is made of.

What is Field Service Compliance?

An opt-in module for regulated trades — pest control (the flagship vertical), lawn care, HVAC refrigerant, pool/spa, janitorial, and agriculture — with a Generic profile for adjacent industries. You track technicians and licenses, log material applications with the regulatory data each profile requires, capture weather snapshots when the profile calls for it, and export an audit-ready CSV for inspectors. Manual entries, license-expiration reminders, the Needs Attention dashboard, and the audit CSV export are included free on every tier. The only Pro upsell is on-demand weather fetch — you can always enter weather by hand on any plan.

Does this replace my accountant or QuickBooks?

SMG Tools replaces the patchwork of apps you use to manage projects — your proposal tool, time tracker, and expense spreadsheet. It doesn't replace your accountant or tax software. Think of it as the organized, job-level records you hand to your accountant — with margins already calculated.

It does hand off cleanly. Pick a date range and SMG Tools produces three CSV files — customers, invoices, then transactions — in the order QuickBooks imports them, and tells you whether the invoice totals reconcile before you send anything. Nothing is transmitted to Intuit: the files are yours to import, or to email to whoever does your books.

On Professional, Accounting sync sends them for you instead. Connect QuickBooks Online or Xero once, confirm which account each kind of record belongs in, and from then on your customers, invoices, payments, refunds, costs and payouts reach your books as they change. The export stays on every plan for whoever would rather have the files.

From proposal to payment — in one workflow.
